General Job Brief
The Sr. Administrative Assistant reports directly to the Chief Operating Officer (COO) and the VP of University Engagement and ensures the smooth operation of the COO's and VP's offices including planning, scheduling, coordinating, record keeping, calendaring, and expense tracking of the Operations Division. This position interfaces with diverse constituents, both internal and external, including cabinet members, faculty, and staff. This position requires the handling of sensitive and confidential information with discretion, integrity, and professionalism.
- Performs general office and administrative tasks as required by the position including but not limited to email and general correspondence, calendar, telephone, internal newsletter, monitoring of alias email account, conference calls
- Conducts online research for Board presentations
- Prepares PowerPoint presentations for Board meetings for COO and VP
- Organizes and facilitates meetings, agendas, minutes, refreshments, etc.
- Serves as the primary point of contact for the COO and VP of University Engagement offices for internal and external constituencies (including interaction with university cabinet and board members)
- Maintains accurate digital records and files
- Familiarity with university processes and protocols
- Prepares invoices and expenses for the Operations department in accordance with Finance Policies and procedures
- Collaborate on special events/projects with university personnel, as needed

- Bachelor's degree preferred, preferably in English, communication, marketing, business, or a related field
- Require 3-5 years of administrative assistance experience, preferably in a higher education environment.
- Require technical experience and competency using Microsoft Word and PowerPoint
- Require experience and competency organization and multitasking
Knowledge (Classification is typically expected to possess.)
- Extensive knowledge of the digital world
- Working knowledge of Microsoft Office products
- Working knowledge of administrative functions in an office environment
Ability and Skills (Classification is typically expected to possess or show potential of satisfactory development when placed in the job.)
- Proficiency in Microsoft Office, especially Word and Power Point
- High attention to detail and accuracy; highly organized; multi-tasking is a must.
